Position Summary

This position works with the Assistant Registrar/Certification Generalist, Athletic Compliance staff, Athletic Advising staff, and Admissions Counselors to review perspective and current student-athletes for academic eligibility per NCAA and JU policies and regulations.  This position is responsible for Registrar portions of the NCAA Academic Performance Review (APR) and Graduation Rate Survey (GRS) Reports and Atlantic-Sun Reporting. 

This position is the main transfer credit evaluator for the University.  This entails documenting when academic departments approve transfer equivalencies and keeping Ellucian’s Colleague and TES updated with approved equivalences.  Work with the JU International Office on the Memo of Understanding (MOU) and transfer equivalencies. 

The Assistant Registrar/Certifications will also assist with the graduation reviews.

All Registrar staff members are responsible for knowing and helping with registration, grading, graduation, and front office duties.

Essential Job Duties

  • Knowledge and understanding of the NCAA Academic policies and regulations and how they apply to the JU Curriculum.
  • Track on Excel spreadsheets student-athletes academic eligibility per NCAA and JU polices
  • Access and update the NCAA databases, especially the CA, and Eligibility Center
  • Review perspective student-athletes NCAA eligibility by evaluating their transfer credits and seeing if the student-athlete meets the NCAA Standard of Progress.
  • Review current student-athletes after mid-term grades for possible concerns of meeting the NCAA Standards of progress.
  • Work with the Student-Athlete advisor on NCAA certification issues.
  • Complete reports required by the NCAA, such as the Graduation Rates Survey (GSR) and the Academic Performance Review (APR)
  • Serve on the Faculty Athletic and Athletic Compliance and Certifications Committees
  • Knowledge and understanding JU and higher education policies and regulations concerning awarding of transfer and alternative credits.
  • Work with the Admissions staff on the evaluation of transfer credits for Nursing, Education, and Aviation students.
  • Run reports from Datatel/Ellucian.
  • All Registrars’ staff must know the standard Registrar functions of: registration, grading, and graduation.

Work Conditions

  • Standard office hours are 8:30 a.m. to 5:00 p.m. with required evening and weekend hours during the year
  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or being off-campus
  • Travel to conferences and workshops held throughout the U.S.A.
  • Incumbent will be exposed to frequent noise caused by telephones and office machines
  • Work in an enclosed and windowless environment, such as the “vault” or basement

Physical Requirements

  • Must be able to lift and carry equipment and supplies up to 40 pounds
  • Must be able to bend, stoop, and reach
  • Manual dexterity to efficiently operate a computer keyboard and other business machines
  • Near vision sufficient to read written communications and compute display screens
  • Adequate hearing to communicate effectively in person and by phone
  • Must be able to stand for long periods of time

Prerequisites Required for Position

Minimum Education Requirement

  • Bachelor’s degree

Minimum Work Experience

  • Demonstrate ability to work with diverse groups
  • Ability to successfully balance and manage multiple tasks in an active, fast-paced environment
  • Excellent oral, written, and computer skills
  • Worked on a company wide information system
  • Worked in an environment that is heavy regulated, so familiar with reading and understanding governmental and regulatory agencies regulations

Preferred Qualifications

  • Work in a College/University environment, preferably in the Registrar’s Office
  • Worked with NCAA certification
  • Familiar with Ellucian’s Colleague
