Position Summary

The Graduate Programs Coordinator position provides general office management and administrative support for the Davis College of Business, including the Associate Dean, academic program directors, faculty and students. The Graduate Programs Coordinator position is involved in the day-to-day operations of the office. Assists in supervising MBA Graduate Assistants and student workers.

Essential Job Duties

  • Students first point of contact for the graduate programs.
  • Assists the Associate Director of Business Programs and Accreditation in preparing the Davis College of Business for AACSB and SACS accreditation including assessment results and faculty qualifications.
  • Collects and reports on data for various assessments and surveys.
  • Arrange various aspects of department meetings, events (such as Economic Round Table) and guest speakers (including Dean’s Leadership Forum) including: reserving space, catering, and promotion.
  • Assist in scheduling and set-up of graduate program events such as open-house, new student orientation, and DBA/EMBA Cohort activities.
  • Assemble, distribute, collect, and archive faculty course syllabi and surveys.
  • Coordinates and processes scholarship and assistantship applications, interviewing and administering process.
  • Assists in the supervision of Graduate Assistants.
  • Assist the Assistant Director Graduate Programs in advising Accelerated MBA, FLEXMBA, MSOL and specialized masters students through their programs, ensuring all courses are taken, assists in determining which foundation, concentration and elective courses would be taken to complete the programs.
  • Supports the maintenance of the DCOB website and social media outlets i.e. Facebook, Twitter, LinkedIn, etc.
  • Provides back-up support and weekend coverage for the EMBA and DBA programs as needed.
  • Is in regular contact with confidential information.
  • Communicate with all faculty and the key University’s stakeholders.
  • Follow up with issues related to faculty and graduate business students.
  • Establish a warm and friendly work environment while providing student support for faculty issues.
  • Maintain adequate inventory of office and classroom supplies.
  • Attend recruitment activities, which are normally outside of normal working hours.
  • Will require working occasional weekends.
  • Assist in hiring and supervision of student workers.
  • Other duties as assigned.

Special Skills

  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Office Suite.
  • Clear, correct, and effective communication using the English language.
  • Must be able to work independently, prioritize and handle multiple tasks.

Work Conditions

  • Standard office hours are 8:30 a.m. to 5:00 p.m.
  • Will require occasional evenings and/or weekends.
  • Work is primarily indoors, but requires traveling outdoors between campus buildings.
  • Typical office-related noise such as telephones and copy machines can be expected.

Physical Requirements

  • Manual dexterity to efficiently operate a computer keyboard and scientific equipment
  • Near vision sufficient to read written communications and computer display screens
  • Adequate hearing to communicate effectively in person and by phone

Prerequisites Required for Position

Minimum Education Requirement

  • Bachelor’s Degree in Business or Communications

Minimum Work Experience

  • 1-2 years office experience

Preferred Qualifications

  • Experience in an academic environment preferred
