Position Summary

The Operations Specialist reports to the Associate Director of Enrollment Operations and is responsible for all Admissions document processing. The Specialist will assist the Enrollment Operations team in maintaining data integrity and process efficiency while improving the student experience.  

Essential Job Duties

  • Oversee all admissions document processing, including importing and uploading transcripts, test scores, and other application materials 
  • Manage dataset uploads and imports from third-party vendors to Admissions CRM 
  • Help maintain data integrity by reconciling data discrepancies and inconsistencies in applicant records 
  • Assist with transfer of data from Admissions CRM to University ERP 
  • Assist with printing and mailing of admissions print materials 
  • Serve as first point of contact for CRM troubleshooting within the Admissions teams 
  • Provide excellent customer service both internally and externally 
  • Communicate and collaborate effectively with internal team and campus partners 
  • Provide continued suggestions about process improvement and creating efficiencies 
  • Help maintain documentation of processes and provide training to student workers and relevant admissions staff as needed 
  • Supervise student workers as needed

Work Conditions

  • 8:30am to 5:00pm 
  • Flexibility for remote/hybrid schedule, but must be available for regular in-office work 

Prerequisites Required for Position

Minimum Education Requirement

  • Associate’s degree or equivalent experience. Bachelor’s degree preferred. 

Minimum Work Experience

  • Experience with data entry and/or document processing; experience working in a CRM preferred 
  • Proficient in Microsoft Office Suite 
  • Demonstrated tech savviness and ability to learn and operate different systems
