Position Summary

The Interdisciplinary Online Academic Advisor works within a team based environment working closely with other online advisors within the Nathan M. Bisk Center for Professional Studies and is responsible for evaluating online applicants and advising undergraduate and graduate students from multiple disciplines.  The interdisciplinary advisor works closely with the NMBCPS directors on special projects and serves as a liaison for the NMBCPS online program with Jacksonville University and Bisk Education.

Essential Job Duties


  1. Evaluates prospective applications for admission into online programs
  2. Completes admission process for accepted online applicants
  3. Advises online students throughout their coursework regarding courses and requirements
  4. Tracks online students to ensure successful completion of courses and requirements
  5. Participates on committees as necessary
  6. Serves as a liaison between Jacksonville University and Bisk Education.
  7. Works closely with NMBCPS Online Directors regarding student needs and scheduling
  8. Serves as role model for faculty, staff, and students in the areas of customer service, collaboration, communication, excellence, attendance, and general professionalism.
  9. Any other duties and special projects as assigned or required by the Directors


  • Check prerequisites when students register for courses
  • Send student letters for dismissals, course failures, probation; communicate information to JU Registrar and BISK education
  • Advise students on course selection/load/decisions
  • Check the rosters, research holds and grant approval for registrations
  • Responsible for evaluating grade reports for failures
  • Keep students aware of drop and withdrawal deadlines



  • Evaluate all transcripts and calculate cumulative GPA’s to determine admission decision
  • Post all transfer courses from other schools’ transcripts/international evaluations in dtel
  • Send course descriptions to Dean, Director for approval as needed for transfer courses
  • Perform all data entry in dtel to include EXTS, ASUM, PSPR, TSUM, XIBSK
  • Evaluate supplemental transcripts 
  • Verify school/program accreditation and ETS codes
  • Review alternative credits for transfer
  • Advise students asking to take classes at other institutions
  • Assist students with petition process if they wish to have admission decision reevaluated
  • Prepare progression plans, admit letters, etc. to email to applicant- post to SLATE
  • Prepare denial letters and email applicant- post to SLATE
  • For internationals students, check TOEFL exam score or that student has taken 24 or more credits with a minimum of 2.0 GPA at a regionally accredited US institution. Evaluate official credential evaluation from an agency that is a member of the National Association of Credential Evaluation Service



  • Process petition for readmission if applicable
  • Evaluate transcripts from newly attended schools
  • Provide updated progression plan, degree audit and important information regarding portfolio in capstone course to student
  • Communicate with Bisk Education when readmit is complete


Student Progression:

  • Review course descriptions from other schools to determine award of credit
  • Review screens in dtel to track progress of students, receipt of transcripts,(IASU),  courses posted (STAC), name changes (NAE), graduation status (SGRD), catalog year(SACP), readmission (STAL), grade forgiveness (STRK), suspensions, probations and holds (PERC), JU GPA’s (STAT), degree audits (PSPR), Graduation status (SPRO) Applications (APPN).
  • Evaluate supplemental transcripts
  • Answer emails, phone calls, etc
  • Prepare appeals for APR Committee
  • Provide academic advising for prospective and current graduate online students
  • Assist students and professors with the incomplete process, track to make sure grade is changed when work is completed or deadline is missed



  • Attend graduation ceremony and reception afterwards for online students
  • Follow students from admission to graduation
  • Maintain database for graduation
  • Collect graduation applications from students that haven’t submitted form
  • Evaluate students’ files to make sure all requirements are met


Affiliation Agreements:

  • Tracking progress of affiliation agreements
  • Maintain database for affiliation agreements
  • Liaison between student and Clinical Coordinator
  • Obtains necessary paperwork/forms from the student for Clinical Coordinator



  • Participates in committees, vendor events, and other groups as deemed necessary by the Program Directors
  • Responsible for maintaining current documentation of online policies and procedures
  • Serve as liaison between Bisk Education and Jacksonville University
  • Tracking data as needed for program (effects of gen ed policy changes, AGE degrees, etc.)
  • Train new advisors
  • Special projects as needed by Directors
  • Fluency in computer skills: Datatel, Excel, Word, Outlook
  • Maintain confidentiality of student records
  • Update shared drive

  1. Candidate must be a highly motivated self-starter who can be a team player and desires to share creative solutions and best practices.
  2. Requirements include problem-solving, critical thinking skills and the ability to balance multiple tasks simultaneously.
  3. Excellent organizational, interpersonal and communication skills are required.
  4. Solid knowledge or experience working in academia. 
  5. Attention to detail and mental concentration are necessary for accurately performing tasks; ability to tolerating frequent interruptions.

Work Conditions

  1. Primarily indoors except when traveling between campus buildings or being off-campus
  2. Standard office hours 8:30am to 5:00pm, evening hours occasionally required
  3. Some off-campus travel required
  4. Work is performed under minimum supervision and requires incumbent to exercise independence and discretion

Physical Requirements

  1. Manual dexterity to efficiently operate a computer keyboard and other business machines
  2. Near vision sufficient to read written communications and computer display screens
  3. Adequate hearing to communicate effectively in person and by phone

Preferred Qualifications

  1. Bachelor’s degree required, Master’s degree preferred or an equivalent combination of education and experience.
  2. Ideal candidate will have 3-5 years of successful work in a University and/or advising role.
