Position Summary

The Coordinator for Campus Recreation & Wellness, River House & Summer Camps, oversees and coordinates all aspects of event-related operations of the River House. Responsible for logistics, operations, and execution of all aspects of internal and external camps, including coordination of campus facilities and budget management. Responsible for logistics and operations of all aspects of the Low Ropes Challenge Course including coordination of leadership program speakers, River House meeting spaces, catering, and maintaining the challenge course calendar. Position works closely with University Scheduler, Catering Services, Residential Life, Student Engagement & Leadership, and Facilities Services. This position reports to the Director of Campus Recreation and Wellness within the Division of Student Affairs. 

Essential Job Duties

  • Manage day to day operations of the 12,000 sq. ft River House including use of the facility by drop-in and scheduled guests; 
  • Coordinate and confirm all internal and external summer camps; 
  • Manage the sales, scheduling, planning, and housing/dining/meeting activities for external clients, campus departments, and for the development of new, revenue-generating events, specifically summer camps and the River House; 
  • Coordinate scheduling of the Low Ropes Challenge Course and leadership elements held within the River House; 
  • Schedule and manage a high volume of meeting reservations, low to high profile events, room layouts, and technology needs for use by campus and outside organizations; 
  • Responsible for client retention for summer camp groups; 
  • Oversight of Summer Camp and River House budgets; 
  • Manage financial and contractual agreements while ensuring all budgetary expectations are being met; 
  • Identify and implement continuous improvement initiatives to increase operations efficiency and revenue generation; 
  • Responsible for policy implementation, process development, service administration, safety, security, and emergency response as it applies to summer camps; 
  • Maintain collaborative relationships with on-campus service providers, working directly with catering, university scheduler, and event services staff to ensure all event logistics and catering needs are accurately and effectively implemented 
  • Prepare pre and post-event analysis, assess opportunities; provide written recommendations for improving services to constituencies. 
  • Coordinate and participate in meetings as scheduled with clients, colleagues, and camp directors 
  • Manage and maintain inventory of event materials/equipment and make recommendations to Director for equipment maintenance and purchases;  
  • Attend events as necessary and provide exceptional customer service to clients throughout the event planning process;  
  • Recruit, hire, train, supervise, and evaluate student staff team; 
  • Regularly organize student staff meetings with a focus on technology training, student leadership, and development, promoting professional competencies;  
  • Other duties as assigned by Director of Campus Recreation and Wellness

  • Ability to work with various data management systems and enter and manage data accurately; 
  • Persuasive presentation and public speaking skills; 
  • Ability to lead, train, and supervise a team of student employees; 
  • Sales experience and proficiency in Microsoft Office, internet searches, and ability to understand event management and processes. 
  • Excellent interpersonal skills which establish cooperative working relationships with internal and external University constituents. Professional demeanor which treats others with respect; 
  • Self-motivated takes initiative and uses critical thinking to solve problems.

Work Conditions

  • Standard office hours are 8:30 am to 5:00 pm 
  • Willingness and ability to work evenings and weekends as necessary  
  • Work is primarily indoors but requires the incumbent to be in an outdoor environment when necessary 
  • Ability to lift 50 pounds.  
  • Typical office-related noise such as telephones and copy machines can be expected 
  • Must be able to bend, stoop, and reach 
  • Manual dexterity to efficiently operate a computer keyboard and other business machines. Near-vision sufficient to read written communications and computer display screens 
  • Adequate hearing to communicate effectively in person and by phone

Prerequisites Required for Position

Minimum Education Requirement

  • Bachelor’s degree in higher education, event management, marketing, or related fields

Minimum Work Experience

  • Professional verbal/written communication skills and excellent interpersonal skills. Ability to communicate with tact and diplomacy and with multicultural competencies.  
  • Skills in-service orientation, active listening, critical thinking. Superior customer service acumen. 
  • Ability in problem identification, reasoning, and resolution. 
  • Knowledge of University processes, procedures, rules, and regulations.

Preferred Qualifications

  • Master’s degree in related field
