Position Summary

The Assistant Registrar/General is the Registrar liaison with the Nathan Bisk Center to coordinate registration, readmission, and reporting for the On-Line, Adult Degree, and Downtown Programs.  This position works with JU’s partner company University Alliance, Advisors, Financial Aid, and Controller’s staffs to ensure that the students are coded correctly and registered in a timely manner. 

The Assistant Registrar/Generalist position works with the JU Veterans Team to ensure the timely and accurate reporting of the academic requirements for the students to be eligible for VA benefits.  This position contacts students when there are issues with the academic certification and counsels the student on the choices available to the student.  The Assistant Registrar must stay current with the VA programs and regulations, updates the catalog with the State Approving Agency, prepare for the VA audits, and attends off campus VA Meetings.

The Assistant Registrar/Generalist is part of the Registrar team that evaluates transfer credits.

Essential Job Duties

  • Knowledge and understanding Jacksonville University and higher education policies and regulations concerning awarding of transfer credits, registration, grading, and graduation.
  • Knowledge of Veteran Administration Programs, Regulations, and Certifications.
  • Knowledge of Ellucian’s (formerly Datatel) Colleague.
  • Ability to run reports from Colleague and the JU Report Server.

Special Skills

  • Excellent computer skills with proficiency in Microsoft Word and Excel

Work Conditions

  • Standard office hours are 8:30 a.m. to 5:00 p.m. with required evening and weekend hours during the year
  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when working campus events, such as Commencement, traveling between campus buildings, or being off-campus.
  • Travel to conferences and workshops held throughout the U.S.A.
  • Incumbent will be exposed to frequent noise caused by telephones, office machines, and conversations.
  • Work in an enclosed and windowless environment, such as the “vault” or basement.

Physical Requirements

  • Must be able to lift and carry equipment and supplies weighting up to 40 pounds.
  • Must be able to bend, stoop, and reach.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Near vision sufficient to read written communications and computer display screens.
  • Adequate hearing to communicate effectively in person and by phone.
  • Must be able to stand for long periods of time.

Prerequisites Required for Position

Minimum Education Requirement

  • Bachelor's degree

Minimum Work Experience

  • Demonstrate ability to work with diverse groups
  • Ability to successfully balance and manage multiple task in an active, fast-paced environment
  • Excellent oral, written, and computer skills
  • Worked on a company wide information system
  • Worked in an environment that is heavy regulated, so familiar with reading and understanding governmental and regulatory agencies regulations

Preferred Qualifications

  • Work in a College/University environment, preferably in the Registrar’s Office
  • Experience with scheduling.
  • Familiar with Datatel’s Colleague
