Position Description

The Admissions Visitation and Events Coordinator will research, plan and execute events and programs to create a successful campus visit experience (be it a scheduled visit, drop-in visit, or Event) that highlights the best Jacksonville University has to offer students, including our physical facilities, academic offerings, campus and student life. The purpose of the Admissions and Events Coordinator is to provide a consistent and seamless Jacksonville University experience to every guest resulting in every visitor understanding, who we are as a University, what sets us apart from other institutions. In addition, this person assists with the planning, facilitation and support of all special events associated with the Office of Admissions.​

Responsibilities

Essential Job Duties:

  • Serves as a liaison between prospects and the University in the planning for individual campus visits
  • Schedules all appointments and makes visitation arrangements
  • Arranges interviews, classroom visits, tours and all other elements that make up the campus visit
  • Coordinates communication with visitors prior and after visits
  • Maintains detailed records of visits, analyzing data and reports on trends
  • Plans and oversees the details of each event to include execution of concept, venue selection, creation of guest list, invitation and program concept design, menu planning, decorations, physical arrangements, schedules of admission and recruitment events
  • Assists with communications to an from prospective students
  • Works with admission staff on interview planning
  • Works with Campus Security in planning for visitors, special needs of visitors and events
  • Serves as the primary customer service point person for incoming phone calls and contact with prospective students
  • Oversees the public visitation areas and arranges for housekeeping needs in interview areas
  • Serves as the back-up Receptionist for the Admission area
  • Will provide campus tours as needed
  • Supervises Admissions Student Ambassadors
  • Creates work schedule for Admissions Student Ambassadors
  • Will submit weekly time card for Admissions Student Ambassadors
  • Other duties as assigned

Work Conditions

  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings, conducting campus tours, or being off campus
  • Standard office hours are 8:30 am to 5:00 pm
  • Attendance at evening and weekend events is required
  • Incumbent will be exposed to frequent noise caused by telephones and office machines and incoming visitors that will approach the desk

Physical Requirements:

  • Must be able to lift and carry equipment and supplies weighing up to 40 pounds
  • Must be able to bend, stoop and reach
  • Manual dexterity to efficiently operate a computer keyboard and other business machines
  • Near vision sufficient to read written communications and computer display screens
  • Adequate hearing to communicate effectively in person and by phone
  • Ability to operate a multi-passenger golf cart

Prerequisites Required for Position:

1. Minimum Education Requirement: High School Diploma

3. Preferred Qualifications:

  • Undergraduate educational experience preferred
