Job Summary

The Student Health Center Nurse Coordinator is a full-time 12 -month exempt position. This individual is responsible for coordinating and overseeing immunization records for students, ensuring that records meet institutional and state requirements. This work includes processing student submission of immunization documentation, maintaining accurate immunization records in the SHC electronic medical record (EMR) system, communication and collaboration with campus partners, students, and families, and active implementation of compliance activities as directed by the SHC Executive Director and University policy. This individual is identified as the EMR superuser/administrator and maintains the health information system, performs monthly data report/analysis, works closely with internal and external support teams, and is responsible for training all SHC staff. Additional responsibilities include healthcare compliance training for SHC employees related to HIPPA/FERPA, OSHA and ambulatory healthcare on a college campus. This individual is responsible for coordinating student clinical rotations through the SHC and provides other clinical or administrative assistance as needed.

Duties/Responsibilities

  • Support the mission, goals, and strategic plans of Jacksonville University and the Student Health Center.
  • Review and maintain immunization compliance records for students consistent with Jacksonville University and state requirements
    • includes daily review of submitted records for accuracy and compliance.
    • input of information into the SHC EMR system (Medicat).
    • maintain files of submitted records consistent with records retention policies.
    • transfers old records from Med+Proctor to Medicat.
    • processes religious and medical exemptions.
    • generates and sends reports as needed to the Executive Director, admissions office, and the registrar’s office.
  • Notifies students of compliance requirements and issues
    • responds to student inquiries concerning compliance status.
    • explains compliance policy and requirements to students.
    • resolves issues that may arise concerning student immunization status compliance.
  • Work with Keigwin School of Nursing clinical coordinators to establish and maintain clinical site rotations for the education of JU health care professionals.
  • Maintains all documentation and data related to clinical site rotations for students.
  • Coordinate, provide and document annual training for all SHC employees related to OSHA, HIPPA/FERPA and emergency procedures.
  • Maintains the health information system and acts as the “superuser” for the EMR system.
  • Collect, analyzes, and reports monthly patient/SHC data to the Executive Director.
  • Trains SHC staff on EMR system updates and changes.
  • Act as the direct liaison with EMR vendor and internal JU system interfaces (i.e., IT and Registrar office).
  • Maintain the confidentiality, security, and physical safety of data on patients.
  • Crosstrain with Front Office Coordinator to assist as needed with appointment scheduling, phone calls, emails, faxes, and student billing.
  • Crosstrain with the registered nurse to fulfill clinical responsibilities as needed.
  • Provide other clinical or administrative assistance consistent with licensure as needed.
  • Participates in various university and community activities as designated by the Executive Director to support the needs of the SHC.
  • Assumes additional responsibilities as assigned by the Executive Director of the SHC.

  • Proficiency with Microsoft Office – particularly Excel and PowerPoint; experience with use of an Electronic Medical Record system.
  • Knowledge of and the ability to apply fundamental concepts related to HIPPA/FERPA regulations and privacy practice.
  • Successfully pass a background check.
  • Experience working in higher education.

Education, Certificates, Licenses, & Experience

  • Bachelor of Science in Nursing from a regionally accredited college or university.
  • 1-2 years of experience practicing as a nurse.
  • Current/Valid Florida Nursing License.
  • CPR/AED Certified.

Physical Requirements

  • Must be able to lift and carry equipment or supplies weighing up to 30 pounds.
  • Must be able to sit for long periods of time.
  • Adequate hearing to communicate effectively in person or by phone.
  • Must be able to bend, stoop, and reach.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Able to work traditional hours of M-F 8:15am - 5:00pm with flexibility to occasionally adjust schedule based on the needs of the health center.
